Using the action plan

Where actions come from, assigning them, and measuring the impact of a fix.

The action plan is a to-do board for the whole workspace. SaaSMaestro fills it from your data; your team works through it, and SaaSMaestro measures whether each fix worked.

Where actions come from

  • Issues: every problem SaaSMaestro detects becomes an action with the same priority.
  • Growth: websites with sustained growth get a “Double down” idea.
  • Recovery: websites climbing back after a fall of 20% or more get a check on what’s working.
  • Query overlap: decide which of your domains should own a search they compete for.
  • Conversion rate jumps: find out what changed so you can repeat it.
  • Tips from your data, for example:
    • Searches at positions 8–20 that could reach the top of page one
    • Pages whose click-through rate is under half what their position normally gets
    • More impressions or better rankings that aren’t turning into clicks
    • Depending on one search, one page, one channel or your brand name for most traffic
    • Pages competing with each other for the same search
    • Mobile converting at under half the desktop rate, or ranking much worse
    • A conversion rate or click-through rate well below similar websites in the workspace
    • A channel that works on your other websites but barely appears on this one
    • No conversions set up, or GA4 or Search Console not linked

The board

Actions are grouped by website, with the websites that have the most open actions first and workspace-wide actions last. The cards at the top show progress, how many actions were newly raised and marked done each week, how long fixes typically take, and how the number of open actions has changed over the last 12 weeks (hover a bar or point for that week). Switch between To do, Done and Dismissed (each button shows how many are in it), filter by website, or narrow it with “Assigned to me”. Marking an action done or dismissing it moves it out of To do and into that list.

Each website’s page also has its own Action plan tab with just that website’s actions.

Working through actions

  • Tick the box to mark an action done.
  • Dismiss actions that don’t apply. Use the Dismissed filter and “Restore” to bring one back.
  • Assign an action to an owner, admin or member, optionally with a due date. Overdue actions are marked “Overdue”, and each person gets a Monday email listing their open tasks.

Did it work?

Once an action is done, it shows “Since done:” with the change in the relevant metric, comparing the daily average for up to 28 days after with the 28 days before. Until 14 days of data are available on each side it shows how many more days are needed.

The “What has worked” panel shows the typical change for each kind of action your team completed over the last year, so you can see which fixes pay off.

When actions come back

  • Fix didn’t work: the action was marked done, but the problem is still detected 14 or more days later.
  • Back again: the problem cleared for at least 7 days and then returned.

Dismissed actions and ideas are never reopened as “Fix didn’t work”; they only come back, as “Back again”, if the problem clears for at least 7 days and then returns. Actions whose problem has cleared for 7 days drop off the board.

Who can use it

Owners, admins and members. Viewers don’t see the action plan.

Related questions

Where do the suggested actions come from?

Every issue SaaSMaestro detects becomes an action, alongside growth ideas, recovery checks and tips drawn from your own data, such as searches close to page one or pages with a low click-through rate.

Can I assign actions to people?

Yes. Click “Assign” on any action to pick an owner, admin or member and, if you like, a due date. Each person gets a Monday email listing their open tasks.

What happens when I mark an action as done?

It moves to Done, and SaaSMaestro starts measuring the effect: the daily average for up to 28 days after, against the 28 days before. If the problem is still detected 14 days later, the action comes back marked “Fix didn’t work”.

Will a dismissed action come back?

Only if the problem goes away for at least 7 days and then returns, when it comes back marked “Back again”. Otherwise it stays dismissed, and you can restore it from the Dismissed filter at any time.
